Bulk Document Scanning Services

Some scanning projects are a filing cabinet or two. Others are a records room that has not been touched in a decade, a warehouse full of banker’s boxes, or a backlog of files that has been growing since before anyone currently on staff was hired. Smooth Solutions handles the second kind — bulk document scanning for organizations that have a genuinely large volume of paper to get under control, not just a few folders to digitize.

What Bulk Document Scanning Services Actually Means

Bulk scanning is not just more of the same scanning at a bigger volume — it changes how the project has to be run. When you are dealing with a records room, a full filing system, or years of accumulated boxes, the challenges are not really about the scanner. They are about knowing what you have before you start, keeping thousands or tens of thousands of pages in the correct order and correctly attributed to the right file, and making sure nothing gets lost, misfiled, or damaged along the way. A project at that scale needs a process behind it, not just equipment.

That is true whether the paper is active files still in daily use, semi-active records nearing the end of their retention period, or a straight archival cleanout where the goal is simply to get everything digitized, indexed, and off the shelves for good.

How a Large Project Gets Scoped

Before a single page is scanned, a bulk project starts with an assessment: how much paper is actually there, what condition it is in, how it is currently organized (or not), and what needs to come out of it on the other side — searchable PDFs, data extracted into a system, records loaded into a document management platform, or some combination. That assessment is what turns we have a lot of boxes into an actual project plan with a defined scope, rather than an open-ended commitment.

Volume changes the logistics too. A large project is typically boxed, inventoried, and processed in batches rather than handled all at once, so records stay trackable throughout and a partial delivery is possible if part of the collection is needed back sooner than the rest.

Chain of Custody, From Pickup to Return

When records leave your building — even temporarily — you need to know exactly where they are and who has handled them, especially for personnel files, financial records, medical records, or anything with a legal retention requirement attached to it. A bulk scanning engagement should account for that at every step: documented pickup, an inventory of what was received, controlled handling during processing, and a documented return or secure destruction of the source paper, depending on what you have decided to do with it afterward. For organizations with strict retention or audit obligations, that documented chain matters as much as the quality of the final scan.

Indexing That Makes the Volume Useful

Scanning a warehouse of paper and turning it into a warehouse of unlabeled PDFs does not actually solve the problem — it just moves it. The value of bulk scanning comes from indexing: naming and organizing files by the fields that make them findable later, whether that is employee name, account number, date, case or file number, or whatever structure matches how your organization actually looks records up. OCR is typically applied as part of the process as well, so scanned pages become full-text searchable rather than just images of paper. Where useful, data can also be extracted directly from the documents to populate a database or feed into a document management system, rather than leaving that data locked inside an image.

On-Site Capture or Shipped to the Facility — For Paper, Either Works

Depending on the volume, sensitivity, and logistics of a project, paper can either be picked up and processed at Smooth Solutions’ facility or captured on-site at your location. On-site capture is available specifically for paper records — it is a practical option when files cannot leave the building for security, regulatory, or operational reasons, or when a large facility makes shipping impractical. Either way, the same indexing, quality control, and chain-of-custody standards apply; on-site is a change in location, not a change in process.

Microfilm and microfiche are a different case. That material is always scanned at DMI’s laboratory rather than on-site, for a reason that matters to any organization with damaged or aging film in the collection.

What Sets DMI Apart When a Bulk Project Includes Film

Large, long-standing paper archives frequently turn up microfilm and microfiche mixed in with the boxes — old records that were filmed decades ago and never converted since. DMI operates a working film laboratory, something almost no one left in this industry still does. Film that is scratched, warped, or was poorly duplicated the first time does not have to come back as unreadable images; it can be chemically remediated at the lab before scanning. Most scanning vendors simply cannot offer that. If a bulk project turns up 16mm or 35mm roll film, or fiche and jacketed microfilm cut from earlier 105mm rolls, it gets the same careful handling as everything else in the collection — remediated where needed, then scanned and indexed alongside the rest of the project.

Serving the Region From Lodi, New Jersey

Smooth Solutions, a DMI company, is based in Lodi, New Jersey — a straightforward pickup point for organizations across the region with paper records that need to move to a facility for processing. Proximity matters for large paper volumes in a way it does not for film, since film ships cheaply and can be handled as part of a national project regardless of where the source material is located. For a bulk paper project, being regionally close keeps pickup, transport, and any interim return simpler to schedule and track.

Getting a Project Scoped

Every bulk scanning project starts with understanding what you actually have — volume, condition, format, and what you need on the other end. There is no published price list for this kind of work because there should not be; a filing room and a warehouse are not priced the same way, and neither should be quoted before someone has looked at what is actually there.

Request a consultation to have your records room, warehouse, or archive assessed and get a scoped quote for a bulk document scanning project, or call 1-800-DMI-4210. Depending on what turns up in the boxes, a project may also involve book scanning, microfilm and microfiche conversion, aperture cards, or large format drawings.
